STEM Tutor 360

    Privacy Policy

    Effective date: October 2, 2026

    Privacy at a glance

    • We do not sell your personal information. That includes your name, email address, phone number, and anything about your student. We don't rent or trade it, give it to data brokers, or share it for targeted advertising.
    • We collect what you give us to book and run sessions, bootcamps, and training, plus the basic technical data needed to run the website.
    • A few service providers help us run things: Google Firebase (accounts and data), Stripe (payments), Resend (email), Netlify (website hosting), and Zoom (online sessions). They can use your information only to provide those services to us.
    • This website doesn't use advertising trackers or analytics cookies.
    • You can ask us to see, correct, or delete your information at any time by emailing contact@stemtutor360.com.

This summary is for convenience. The full text below is what applies.

    1. Who we are

This website, stemtutor360.com, is operated by Stem Tutor 360 LLC ("STEM Tutor 360," "we," "us," or "our"), a Texas limited liability company based in Richmond, Texas. We provide one-on-one tutoring, test prep, consultations, bootcamps, webinars, and training for engineering teams.

This policy explains what personal information we collect, how we use and protect it, and the choices you have. It applies to this website, your account, our emails, and the tutoring and training services we provide. It doesn't apply to our College Trivia app, which has its own privacy policy, or to other companies' websites and services that we link to.

    Questions and requests: contact@stemtutor360.com or (281) 701-0456.

Mailing address: Stem Tutor 360 LLC, 5900 Balcones Drive, Suite 100, Austin, TX 78731.

    2. We do not sell your personal information

We do not sell your personal information to third parties. That includes your name, email address, phone number, mailing address, payment details, and any information about a student, such as their name, grade, school, tutoring records, or bookings and registrations.

We also don't rent, trade, or license your personal information, we don't give customer or student lists to data brokers or other businesses for their own marketing, and we don't share personal information for targeted advertising (sometimes called cross-context behavioral advertising).

We do rely on service providers to run our services, as described in "When we share information." They handle information on our behalf, which is not a sale.

    3. Information we collect

    Information you give us

    • Contact details: your name, email address, and phone number, when you book, register, create an account, request a quote, or contact us.
    • Account details: your name, email address, phone number, and password, and when you agreed to our Terms and Conditions and this policy. Passwords are handled by Google Firebase Authentication and stored in a protected (hashed) form. We never see them.
    • Student details: a student's name, grade level, the subjects or exams they're working on, and anything you choose to tell us about their goals or needs.
    • Booking and session details: the subject, session type (online or in person), date, time, length, notes you add, package balances, session history, and the progress notes or feedback the tutor records after sessions.
    • Training inquiries: your company name, the program you're interested in, team size, timing, location, your message, and any drawings or materials you share so we can tailor the training.
    • Payment information: payments are processed by Stripe. We don't receive or store your full card number or security code. Stripe tells us whether a payment succeeded, the amount, and what it was for.
    • Messages: anything you send us through a form, by email, by phone, or by text.

Please don't put Social Security numbers, identification documents, card numbers, medical records, or other sensitive information in booking notes or messages. If a student needs accommodations, tell us what support would help; there's no need to send medical documents.

    Information collected automatically

    • Technical data: when you visit the site, our hosting providers (Netlify and Google Firebase) process your IP address, browser and device type, and the pages you request, as needed to deliver the site and protect it from abuse.
    • Sign-in storage: when you sign in, your browser stores a sign-in token through Firebase Authentication so you stay signed in. Your account can't work without it.
    • Booking in progress: if you start a booking and then create an account to finish it, your booking choices and contact details are held in your browser tab until you finish or close the tab.
    • No advertising or analytics trackers: we don't use Google Analytics, advertising pixels, or similar tracking tools on this website.

    Information from other people

Sometimes someone else gives us information about you. A parent or guardian may book sessions for a student, and an employer may enroll its engineers in a training program. If you give us someone else's information, please make sure you're allowed to share it with us.

    4. How we use your information

    • To create and run your account, including signing you in and resetting your password.
    • To schedule and deliver tutoring sessions, consultations, bootcamps, webinars, and training.
    • To send booking confirmations, reminders, Zoom links, receipts, package balance updates, and other messages about the services you've asked for.
    • To process payments, issue refunds, and keep the accounting and tax records the law requires.
    • To keep track of package hours and session history, and to record progress notes that help the tutor plan the next session.
    • To answer questions, prepare training proposals, and follow up on requests you make.
    • To improve our services, our website, and our teaching materials.
    • To protect our services, our students, and our business, including preventing fraud and abuse.
    • To send occasional news about new programs or bootcamps if you've worked with us or asked to hear from us. You can opt out at any time.
    • To comply with the law and enforce our Terms and Conditions.

We use work a student submits, and materials a company shares for training, only to teach, give feedback, and keep necessary records. We don't use your information to build advertising profiles, and we don't make automated decisions about you that have legal or similarly significant effects.

    5. When we share information

We share personal information only in these situations:

    • Service providers. These companies handle information on our behalf to run our services: Google Firebase (accounts, database, and server functions), Stripe (payments), Resend (sending email), Netlify (website hosting), and Zoom (online sessions, when you join one). They may use the information only to provide their services to us, and their own privacy policies govern how they handle it.
    • What Stripe receives. For a tutoring booking, Stripe receives your name and email address, what you're buying, and the session's date and time, so it can take the payment and match it to your booking. Your booking notes and phone number stay with us.
    • The account holder. The person who holds an account, often a parent or guardian, can see that account's bookings, package balances, and session feedback.
    • Your employer, for training it arranged. If your employer booked a training program for you, we may share your attendance and completion with them.
    • Advisers and legal reasons. We may share information with our accountants or lawyers under a duty of confidentiality, and we may disclose it when the law requires, such as in response to a subpoena or court order, or when we believe in good faith that disclosure is needed to protect someone's safety, prevent fraud, or protect our rights.
    • Business transfer. If our business is merged, acquired, or sold, information may transfer to the new owner as part of that transaction. The new owner would have to honor this policy, including the commitment not to sell your personal information.
    • With your permission. For example, if you ask us to share a student's progress with a school or another tutor.

    6. Live sessions and recordings

    • Online sessions run on Zoom. In a group session, other participants can see your display name and anything you say, show, or share.
    • Group programs described as recorded, such as our FE exam cohort for employers, are recorded so participants can review them. Those recordings are shared only with that program's participants and our staff.
    • Other sessions, including one-on-one tutoring, are not recorded unless we agree with you in advance.

    7. Testimonials and student work

We ask for separate permission before using a student's name, work, image, recording, or testimonial in our marketing, and for a student under 18, we ask their parent or guardian. Saying no never affects the services you've bought. If you gave permission and later change your mind, tell us and we'll stop future use.

    8. Phone numbers and text messages

    • We use your phone number only to reach you about your sessions, bookings, and requests, such as confirming a time or letting you know about a change.
    • Giving us your number isn't consent to automated marketing calls or texts. We'd ask separately before sending any.
    • We do not sell, rent, or share phone numbers or text-messaging consent with third parties or affiliates for their marketing or promotional purposes.
    • If you'd rather not get calls or texts from us, reply STOP to a text or tell us by email, and we'll use email instead.

    9. Children and students

    • Many of our students are minors. Accounts must be created, and bookings and purchases made, by an adult: someone 18 or older, or a parent or legal guardian acting for their student. That adult agrees to these practices on the student's behalf.
    • Children under 13 must not create an account or send us personal information themselves. When a parent arranges tutoring for a child under 13, the parent gives us the child's information and consents to our using it to provide the tutoring. If we learn that we collected information from a child under 13 without a parent's consent, we will stop using it and delete it.
    • Parents and guardians can ask to see, correct, or delete their child's information, or tell us to stop collecting it, at any time by emailing contact@stemtutor360.com. We may need to confirm that you're the parent or guardian first.

    10. How we protect information

    • Information is encrypted in transit with HTTPS. Our accounts and database run on Google Firebase, which encrypts stored data.
    • Access rules limit each account to its own bookings, packages, and session feedback, and only STEM Tutor 360 staff who need student information to provide your services can see it.
    • Card payments are handled by Stripe, which is certified to the payment card industry's highest security level (PCI DSS Level 1).
    • No system is perfectly secure. Protect your password, and tell us right away if you think someone has used your account. If a breach affects your personal information, we will notify you, and any authorities, as the law requires.

    11. How long we keep information

    • Account, booking, and session records: while your account is active, and for up to 3 years after your last session or purchase.
    • Payment, invoice, and tax records: as long as tax and accounting laws require, generally up to 7 years.
    • Messages and quote requests that don't lead to services: up to 2 years.
    • Session recordings: until the end of the program they belong to, plus up to 90 days.

When we no longer need information, we delete it or remove the details that identify you. Deleting an account doesn't erase records the law requires us to keep, such as payment and tax records, and backups may hold copies for a short time. We use information kept only for those reasons for nothing else. You can ask us to delete your information sooner (see "Your choices and rights").

    12. Your choices and rights

    You can ask us to:

    • show you the personal information we hold about you;
    • correct anything that's wrong;
    • delete your information or close your account;
    • give you a copy of your information in a portable format; and
    • stop sending you marketing emails, which we'll do within 10 business days. Service messages about your bookings continue.

To make a request, email contact@stemtutor360.com with the subject "Privacy request." You don't need an account to ask. We may ask you to confirm your identity first, so please don't email passwords, card numbers, or ID documents. We'll respond within 45 days; if we need more time, we'll tell you why within that period. If the law requires us to keep some information, such as tax records, we'll tell you what we kept and why.

If we decline a request, you can appeal by replying with the subject "Privacy appeal," and we'll respond in writing within 60 days. If you're not satisfied with the result, you can contact the Office of the Texas Attorney General.

We won't treat you differently or charge you more for exercising these rights, though deleting information we need to provide a service may mean we can't continue it. Depending on where you live, state privacy laws such as the Texas Data Privacy and Security Act may give you additional rights. Our no-sale commitment and the requests above apply to everyone, wherever they live.

Because we don't sell personal information or use it for targeted advertising, there's nothing to opt out of, whether or not your browser sends an opt-out signal such as Global Privacy Control.

    13. Cookies and similar technologies

    • We use only the browser storage the site needs to work: keeping you signed in, and holding a booking in progress while you create an account.
    • Stripe's checkout pages use cookies to process payments and prevent fraud.
    • You can block or delete cookies in your browser settings, though signing in and payments may not work without them. On a shared computer, sign out when you're done.

    14. Where information is stored

We're based in the United States. Our service providers store and process information in the United States and, in some cases, other countries where they operate. Our services are intended for people in the United States; if you use them from elsewhere, your information will be transferred to and processed in the United States.

    15. Links to other websites

Our website links to other websites, such as exam providers, standards organizations, and the tools we use. We're not responsible for their content or privacy practices, so please read their policies.

    16. Changes to this policy

We may update this policy as our services change. When we do, we'll post the new version here with a new effective date. If a change materially affects how we use your personal information, we'll tell you by email or with a notice on the website before it takes effect, and we'll ask for your consent where the law requires it before using information already collected in a new way.
